I've been the administrative buyer for a 400-person company for five years. I manage roughly $300,000 in annual spending across 60–80 purchase orders. When I took over purchasing in 2020, I thought the job was simple: get the lowest price, keep the maintenance team happy, don't make finance angry. A vendor failure in March 2023 changed how I think about ordering. Then a Prysmian MV cable order in 2024 made the lesson permanent. Both were expensive. One was avoidable. Both taught me to read the specification before I read the price.
The order that exposed my process
We needed a medium-voltage feeder between two buildings. The same issue shows up everywhere once you start looking. Phone and data cabling is a good example. If you ask for "phone wire," you are going to get something, but not necessarily the right something. In the U.S., the National Electrical Code separates communications cables into types like CMP, CMR, and CMX. Each rating is tied to a specific installation environment. Plenum-rated cable costs more because it is designed for air-handling spaces. Substituting a non-plenum cable in a plenum space is an inspection failure waiting to happen. Fire alarm circuits have their own ratings too, and mixing them up is easy when you are ordering by price.
Per NFPA 70, the National Electrical Code, communications cables must be marked with their fire-resistance rating and must be suitable for the location of installation. The marking is not optional. Neither is the spec.
I got a second, weirder reminder when I was asked to buy a blood pressure monitor for our office health room. The product photo was fine. The box was not. The blood pressure monitor symbols on it—BF type, IP22, CE—looked like a second language. I looked them up. BF type comes from IEC 60601-1 and means the applied part is isolated from the mains. The IP22 rating comes from IEC 60529 and means the enclosure resists a fingertip-sized object and vertical dripping water. Those are safety labels, not marketing. Before the cable order, I probably would have ordered the same monitor without a thought. Now I see why the symbols exist.
Even the maintenance team's request for "the best multimeter for automotive" sounds different to me now. A lot of buyers would pick the one with the biggest screen or the most digits. What matters more for automotive work is input impedance, accuracy at low DC voltages, and a safety rating that covers the kind of surges that can happen under the hood. The CAT rating on a multimeter comes from IEC 61010. Buying a test tool without the right CAT rating is a safety decision, not just a feature decision.
What changed in my buying process
I still compare prices. That part of my job will not change. But now I do four things before I push an order through:
- I write the real specification first—voltage class, jacket type, conductor size, fire rating, safety category, whatever applies.
- I ask for the manufacturer's data sheet, not a one-line sales description.
- I verify the markings on the product match the data sheet.
- Then—and only then—I compare prices across distributors.
That last step is where the discounts still matter. The difference is that I am not comparing vague product descriptions anymore. I am comparing identical specifications.
Per FTC guidelines (ftc.gov), product claims must be truthful and substantiated. That applies when a distributor says a product is "equivalent" to a specified manufacturer part just as much as it applies to any advertising claim. If they can't show me the datasheet, I don't need to spend much time on their quote.
In my experience, the lowest purchase order amount is often not the lowest cost of ownership. The cable that needs to be replaced because it was under-rated for the environment will cost more in labor than it ever saved in materials. The phone cable that fails an inspection means tearing it out of the wall. The test meter with the wrong safety rating is not a bargain; it's a risk.
I don't buy the most expensive option for everything. Sometimes the cheaper supplier wins because the spec is identical and the savings are real. But I no longer accept "it's the same thing" as a substitute for proof.
And when I don't know what a symbol means, I ask. That's a lot easier than explaining later why I didn't.
